Capital Punishment Justice Project Limited (ABN 39 482 549 157) (CPJP) is committed to protecting your privacy. CPJP takes the responsibility of protecting your personal information seriously. 'Personal information' means information about an identified individual or an individual who is reasonably identifiable.
This Privacy Policy sets out how we manage your personal information, including sensitive information. 'Sensitive information' may include information about racial or ethnic origin, political opinions, health information (such as your medical record) and criminal record. From time to time, it may be necessary for us to review and revise this policy. We reserve the right to change this policy at any time.
Please note that this policy should be read together with any other privacy statement that we may provide to you when we collect your personal information.
Purpose
The purpose of this document is to provide information regarding CPJP's privacy obligations to individuals who access CPJP's website or CPJP's social media platforms, use CPJP's mobile application or otherwise use or contribute to CPJP's services (including through a third party platform).

What information do we collect?
CPJP will only collect your personal information where it is reasonably necessary for us to carry out our work or promote our organisation. The personal information we may collect about you includes, but is not limited to:
your personal details, including your name, age and date of birth;
your contact details, including your home address, email address, telephone number and social media details;
your employment history and professional qualifications;
payment details; and
other information from which you are reasonably identifiable.
CPJP may also collect your location (including details of the relevant correctional facility) and sensitive information, such as your criminal record and health information (such as your medical records), if we are providing you with casework assistance.
How do we collect personal information?
CPJP may collect your information in a number of ways, including:
when you contact us via telephone, email, websites or other avenues;
by registering your interest or support for the CPJP, including joining our mailing list;
from our social media websites or applications; and
as part of our community activities and consultations.
We will usually collect personal information directly from you. If CPJP collects personal information from a third party, we will take such steps as are reasonable in the circumstances to notify you, or ensure you are aware, of that collection and the circumstances of collection.
Why do we collect your information?
We may collect and use your information for the following purposes:
to provide and manage casework assistance to you or another person known to you;
to operate, manage, develop and promote our organisation, including managing and administering donations and other support actions;
to provide you with information about our news, activities, appeals, campaigns and fundraising;
provide you with information about CPJP's upcoming events and to facilitate or organise such events;
for recruitment purposes to assess your skills, qualifications, and suitability for a role, carry out background and reference checks (where applicable), communicate with you about the recruitment process and keep records related to our hiring processes;
to comply with our legal and regulatory obligations and bring and defend legal claims;
to allow selected third parties to contact you about their services or issues which may be of interest to you;
to operate, administer and improve our website and premises and other aspects of the way in which we conduct our operations;
to protect our organisation from fraud, money-laundering, breach of confidence, theft of proprietary materials and other financial or business crimes;
where we need to perform the contract we are about to enter into or have entered into with you;
where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those legitimate interests; and
to analyse and better understand the composition and interests of our supporter base.
Use and disclosure
We will only use or disclose your personal information for the purpose it was given to us or for a reasonably related secondary purpose. As part of carrying out our functions (including for casework purposes), we may need to disclose your personal information to other organisations, including:
government agencies or bodies (if we obtain your consent);
to third parties in connection with the casework services that we provide to you (including for example, potential witnesses or independent experts);
information technology service providers;
social media and other digital platform providers, communications or similar organisations that we engage with to facilitate our communications with members;
legal service providers; and
community service providers.
We may also be required to disclose your personal information where required by law, for example, in response to a subpoena. As part of our casework services, we may also disclose your personal information to overseas recipients (for example, based in Asia), such as lawyers, interpreters, and next of kin of individuals on death row.
Storage and security of information
We will take reasonable steps to ensure that the personal information we hold is protected from misuse, interference and unauthorised access. This includes, but is not limited to, ensuring that personal information held in electronic format is password protected where possible and that access is limited to CPJP's authorised personal only.
We will only keep your personal information for as long as we need it for the purposes described in this policy. Your personal information will be destroyed or de-identified when it is no longer required by us or our agents.
Links to third party websites
Our website includes links to pages and services provided by third parties. These third party websites are outside of our web domain and this Privacy Policy will no longer apply to any personal information you provide. Unless otherwise indicated, we assume no responsibility or liability for the condition or content of any third party website or for the operation or function of any service offered by a third party website.
Access and correction of personal information
We take reasonable steps to ensure that the personal information we hold is accurate and complete. If at any time you wish to access or update your personal information, you can do so by contacting CPJP using the details outlined in the section below. CPJP may require you to verify your identity prior to accessing or correcting personal information.
